Contract performance (GDPR Art. 6(1)(b)): Processing your name, email, payment token, and rental records is necessary to execute the rental contract — issue your PIN, charge the correct amount on return, and send your receipt.
Legitimate interests (GDPR Art. 6(1)(f)): Retaining transaction records for dispute resolution, fraud prevention, and internal operational management.
Legal obligation (GDPR Art. 6(1)(c)): Retaining accounting records as required by Portuguese tax law (Decreto-Lei n.º 158/2009) and German commercial law (HGB §238 ff.).
We share data only with processors necessary to operate the service, each bound by GDPR-compliant Data Processing Agreements:
We do not sell personal data to any third party. We do not use your data for advertising or profiling.
Rental & payment records: Retained for 10 years from the end of the fiscal year in which the transaction occurred, as required by Portuguese tax law (Art. 52 CIRS / Decreto-Lei n.º 158/2009) and German tax law (§ 147 AO).
Customer profile data (name, email, phone, Stripe customer reference): Retained for 5 years after your last rental, then deleted.
Damage reports & dispute records: Retained for 3 years from the date of the incident (Portuguese statute of limitations for civil claims — Art. 498 CC).
SessionStorage data: Deleted automatically when you close your browser tab — not stored on our servers.
Some processors (Stripe, Airtable) are based in the United States. All transfers take place under EU Standard Contractual Clauses (SCCs) as approved by the European Commission under GDPR Art. 46(2)(c), providing an adequate level of data protection.

We do not use cookies, tracking pixels, or analytics scripts of any kind. We use browser sessionStorage exclusively to maintain your active rental session (PIN, rental ID, item name) while your tab is open. This data is stored only on your device, is never transmitted to our servers for this purpose, and is automatically and permanently deleted when you close the tab. It is not a cookie and does not require consent under the ePrivacy Directive.
Stripe.js (loaded from js.stripe.com) may set its own cookies strictly necessary for payment security and fraud prevention. These are subject to Stripe's privacy policy.
We implement appropriate technical and organisational measures including HTTPS encryption for all data in transit, access-restricted databases, and tokenised payment storage via Stripe's PCI-DSS-certified infrastructure. No system is completely secure; in the event of a data breach affecting your rights, we will notify you and the competent supervisory authority within 72 hours as required by GDPR Art. 33–34.
We may update this Privacy Policy at any time. The date at the top indicates the latest revision. For material changes, we will take reasonable steps to inform active users. Continued use of the service after changes constitutes acceptance.

Ohana Rentals operates a self-service smart locker rental system at Nova School of Business and Economics (Nova SBE), Carcavelos Campus. By initiating a rental — entering your details and submitting the booking form — you confirm that you have read, understood, and agree to be bound by these Terms & Conditions in their entirety. If you do not agree, do not proceed with a rental.
These terms constitute a legally binding contract between you ("Renter") and the operator, Moritz Meyer ("Ohana Rentals", "we", "us").
The rental service is available to Nova SBE students, faculty, and staff ("Nova SBE Community Members") and their guests, subject to the following conditions:
Upon confirmed booking, a one-time PIN is issued to open the smart padlock securing the locker shelf. You acknowledge and agree that:
Hourly items: Every commenced hour is billed in full. Example: 1 hour 5 minutes of rental = 2 hours charged. There are no partial-hour refunds.
Daily items: Priced per 24-hour period. Every commenced 24-hour period is billed in full.
Card authorisation: By providing your payment card details, you authorise Ohana Rentals to charge the total rental amount to your card upon return. Your card is not charged at the time of booking.
Automatic charge: Upon initiating your return through the app, the total rental fee is calculated and charged automatically to your saved payment method via Stripe. You will receive a payment confirmation by email.
Failed payment: If the automatic charge fails, you remain liable for the outstanding amount. We reserve the right to use alternative collection methods and may charge late payment interest at the statutory rate under Portuguese law (Art. 806 CC).
Currency: All prices are in Euros (€) inclusive of applicable taxes.

You are financially responsible for any damage to, or loss of, rented items during your rental period. The following cost structure applies:

Loss or Theft (any item): Full replacement cost of the item at current market value.
Tent — Damage/Loss:
Damage charges will be applied to your saved payment card after prior written notification by email. You have 48 hours to dispute a damage charge before it is processed. Disputes must be submitted to boards.ohana@gmail.com with photographic evidence.
Once a rental PIN has been issued, the rental has commenced and cannot be cancelled. No refunds are issued for unused rental time. If you return an item earlier than planned, you are only charged for the hours/days actually elapsed (rounded up).
Use of rented items is entirely at your own risk. You acknowledge that:
This limitation of liability applies to ordinary negligence only. It does not exclude or limit liability for gross negligence, willful misconduct, or mandatory statutory liability under Portuguese or German consumer protection law.
Item availability is on a first-come, first-served basis and cannot be guaranteed. Ohana Rentals reserves the right to temporarily suspend, restrict, or modify the rental service at any time, including for maintenance, operational reasons, or safety concerns. Such suspension does not constitute a breach of contract and does not entitle the Renter to a refund for periods not yet commenced.
Material breach of these Terms — including but not limited to unauthorized transfer of rented items, non-return, non-payment, or misconduct — may result in:
Ohana Rentals reserves the right to amend these Terms & Conditions at any time. For existing obligations (active or recently completed rentals), the version in force at the time of booking applies. For new bookings made after publication of updated terms, the latest version applies. We will publish changes on this page with an updated date.
These Terms are governed by Portuguese law. Any disputes arising from or related to these Terms or a rental transaction shall be subject to the exclusive jurisdiction of the courts of Lisbon, Portugal. If any provision of these Terms is held invalid or unenforceable, the remaining provisions continue in full force and effect.
Personal data is processed in accordance with our Privacy Policy, which forms an integral part of these Terms and is available via the Privacy Policy link in the footer.
By completing a rental, you confirm that you have read, understood, and voluntarily agreed to these Terms & Conditions, and that you are at least 18 years of age or have the consent of a legal guardian.
